Thermal vs A4 invoice printing for optical shops

1. The four formats, side by side

The width difference between the thermal sizes matters more than it sounds. On 58mm paper a GST-registered shop is trying to fit description, HSN, quantity, rate, taxable value and a CGST/SGST split across a strip narrower than a bank note. It can be done, but it wraps and it reads badly. On 80mm it fits cleanly. If your shop is registered under the regular scheme, choose 80mm.
2. Printer types and what they cost to run
Thermal
No ink, no toner, no ribbon — the printhead burns the image into heat-sensitive paper. That means almost nothing to consume except the roll, near-silent operation, and speeds a customer does not have to wait for. Counter-top USB units are common; Bluetooth models let you print from a phone or tablet, which is useful if your billing is on a tablet at the display wall.
Inkjet and laser for A4 and A5
You almost certainly already own one, and in an optical shop it will not be running at volume. Laser is cheaper per page and does not dry out between uses, which is the failure mode of an inkjet used twice a week. If you print a handful of full invoices a day, either is fine.
Dot matrix
Still found in older shops. Genuinely archival — impact printing does not fade — and it does carbon copies natively. Against it: slow, loud, and awkward to source consumables for. Not worth buying new, but not worth throwing out if you have one and it works.
3. Durability — the thermal fading problem
Thermal print fades. The mechanism is the point of the technology: the image is a heat reaction in a coating, and heat, sunlight, humidity, friction and contact with PVC all continue that reaction. A slip left in a car dashboard in an Indian summer can be unreadable in weeks. Kept in a drawer, it may last a year or two.
For a grocery receipt nobody cares. For an optical shop it matters, because the bill is the warranty document. Frames carry manufacturer warranties, coatings carry warranties, and a customer returning after fourteen months with a blank strip of paper has an argument on their hands that nobody wanted.
- Give a proper A4 or A5 invoice for any spectacle sale that carries a warranty.
- Send a PDF on WhatsApp as well — the customer can always scroll back to it.
- Keep your own copy digitally, not as a spike of thermal slips.
- Tell the customer to photograph the bill. It takes two seconds and saves an argument.
4. What optical customers actually expect
Perceived value tracks the paper more than owners expect. Hand over a ₹9,000 pair of progressives with a curling thermal strip and the transaction feels smaller than it was. Hand over a printed invoice showing the frame model, the lens type and index, the prescription it was made to and your shop’s name at the top, and it feels like what it is — a considered purchase from a professional shop.
The prescription on the invoice is the detail most shops miss. It is the single most useful thing on the customer’s copy: it proves what was dispensed, it settles remake arguments, and it means the customer can tell any optician anywhere what they are wearing. Corporate and GST-registered buyers are a separate case with no ambiguity: a company buying safety eyewear for staff needs a full tax invoice with their GSTIN on it, in a form their accounts department can file. That is A4 or a PDF, never a thermal slip.
5. Why most shops end up doing both
The settled answer in the trade is not one format but a rule about which to use when:

This is only workable if the format is a choice at the moment of billing rather than a setting somebody has to change. If switching from thermal to A4 means opening settings, in practice nobody switches and every customer gets whichever the last person chose.
6. Getting the setup right
- Set a sensible default for the counter — usually 80mm thermal — and make the other formats one click away on the bill screen.
- Test the margins on your actual printer. Thermal units differ in printable width, and a bill that looks right on screen can lose its right-hand column on paper. Print one of every format before you rely on it.
- Put your logo and full address on both. Even the thermal. It is the cheapest advertising you print all year.
- Keep the GST fields correct in every format. A thermal receipt from a registered shop is still a tax invoice and still needs GSTIN, HSN and the tax split; a Bill of Supply must not sprout tax rows just because it is printed narrow. Our GST invoice format guide lists the mandatory fields.
- Keep the invoice number identical across formats. One bill, one number, whether it went out on thermal, on A4 or as a PDF. Two parallel series is a reconciliation problem you cannot unwind later.
- Buy a spare roll before you need one. Running out mid-rush is a predictable and entirely avoidable problem.
